What we hold about you as a beauty buyer, how it reached us, who sees it, and how to have it removed — in one email, with no justification required.
If you work in beauty retail or distribution, we may hold your professional contact details. This page tells you exactly what we hold, how it reached us, what we do with it, and how to have it removed — in one email, with no justification required.
1. Why this page exists
We are a beauty distribution business before we are a software company. Over more than fifteen years representing brands to retailers and distributors internationally, our teams have built working relationships with the people who buy beauty products. The record of those relationships is what we now call the buyer database.
Data protection law requires us to be transparent about that record. This page is that transparency, in one place, rather than buried in a longer policy.
2. What we hold
- Your name and job title
- The company you work for, its type and the markets it covers
- Business contact details — your professional email address, and where you gave it to us, a direct line
- Your professional profile, such as a public LinkedIn page
- The history of our commercial exchanges with you, and of contact made through the platform by brands using it
Everything here concerns you in your professional capacity. We hold no home address, no private telephone number, and no special category data — nothing about health, beliefs, origin or anything comparable.
3. Where it came from
In the great majority of cases, from you, in the ordinary course of business:
- meetings at trade shows and industry events — Cosmoprof, TFWA, Esxence and others — where cards and contact details are exchanged
- appointments, calls and correspondence with our sales teams
- commercial relationships around the brands we represent: quotations, orders, sample requests, training sessions, in-store support
- details you gave us so that we could send you a price list, a catalogue or a follow-up
Alongside that, we keep records accurate using publicly available professional information — your employer’s website, trade directories, professional networks where you have published your role. That is how we know when someone has changed company or job title, rather than continuing to write to an address that no longer exists.
We do not buy contact lists, and we do not license third-party files.
4. Why we hold it, and on what legal basis
Our lawful basis is legitimate interest: our interest, and that of the brands we work with, in reaching the professional buyers whose job is to source products like theirs — weighed against your right not to be contacted.
We think that balance holds, because the processing is strictly professional, limited to business contact details, relevant to the role you actually hold, and because it stops the moment you say so. We have documented that assessment and will share a summary if you ask.
Where you are a customer of a brand we represent, some of the same data is also processed to perform that commercial relationship.
5. Who sees it
Beauty brands subscribing to the platform. Each brand sees the contacts relevant to its category and its markets — not the whole database.
Brands are bound by our terms of use, and remain responsible under data protection law in their own right for how they contact you.
We do not sell your details as a standalone list. We do not pass them to advertising networks or data brokers. And we do not combine one brand’s records with another’s.
6. How long we keep it
Three years from our last meaningful exchange with you. After that, the record is reviewed and deleted unless there is a live commercial relationship to maintain.
If you object, we keep one thing indefinitely: the fact that you objected. That record exists purely so you stay excluded — including if the database is later rebuilt from a source that still holds your details.
7. How to be removed
Write to privacy@beauty-scale.co with the email address you want removed. You do not need to explain why.
- We confirm within one month, usually within days.
- Your objection to being contacted is absolute. We do not weigh our interests against yours, and we do not ask you to reconsider.
- We tell any brand already holding your record to stop contacting you.
8. Your other rights
You can ask for a copy of what we hold, have it corrected, have it erased, restrict how we use it, or receive it in a portable format. Same address, same one-month deadline.
You can also complain to your national supervisory authority — the CNIL in France, the Garante in Italy, the ICO in the United Kingdom, or the equivalent where you live.
